A Square Xero integration costs $0 in app fees if you use the official connector, and $18 to $369 a month if you need a sync app that handles more channels or more volume. Checked on October 23, 2026, the Square and Xero integration that Amaka built for both companies is free for Square sellers on every plan. The cost most US sellers miss is Xero itself: Square fees post as bills, and Xero's $27 Early plan allows only 5 bills a month, which pushes a busy counter onto the $59 Growing plan.
So the real decision is not which app is cheapest. It is whether the free connector's daily summary is enough for your books, or whether you need per-order detail, a second sales channel, or a tool that reconciles the deposits once they land. We read each vendor's own pricing page or help documentation on October 23, 2026 and list only what they publish.
How much does a Square Xero integration cost?
Expect $0 for the official connector, $18 to $49 a month for Amaka's paid plans once you add a second channel, $35 to $68 a month for Link My Books at 500 to 5,000 orders, and $52 to $369 for Synder or Webgility, which add multichannel features. On top of that you pay Xero, $27 to $97 a month on the US plans, and Square's processing fees, which no integration removes.

Is the Square Xero integration free?
Yes, the app itself is free. Square's help center and Amaka's setup guide both say the Square and Xero integration is available free of charge to Square and Xero users, and Amaka's pricing page lists Square plus Xero among the integrations it provides at no cost regardless of plan. What is not free is the Xero subscription, and the plan you are on matters more than most sellers expect.
The connector posts Square fees into Xero as bills when Square deposits the payments to your bank, referenced by location and date. A store with a deposit most business days produces 20 or more fee bills a month. Xero's US Early plan, $27 a month, allows 5 bills. One Square seller wrote on Square's own community forum that the fee bills were what used up their allowance. In practice the free integration comes with a $32 a month upgrade to Growing at $59, which is the real number to budget.
Does Square integrate with Xero?
Yes. The official integration supports the United States, Australia, the United Kingdom, Ireland and Canada. Per Amaka's setup guide, you choose between syncing a daily summary of the previous day's sales as one invoice or syncing each Square order as its own Xero invoice. It captures gift cards, tips, tax and payment fees, maps tips to a Square Tips liability account by default, and routes card takings through a Square Balance account that acts as a clearing account. Cash goes to a separate Square Cash Clearing account.
Two limits are worth knowing before you connect. The integration does not support Xero Cashbook, and it cannot pass Square fees on to customers automatically. Data from a start date of today appears in Xero the next day, and you can back sync history by choosing an earlier start date in the scheduler.
What does a Square to Xero sync cost at 500, 1,000 and 5,000 transactions a month?
Here is the monthly app cost for one Square location on Xero, using each vendor's published ladder. Xero and Square processing fees are extra in every row.
| Option | 500 a month | 1,000 a month | 5,000 a month |
|---|---|---|---|
| Square and Xero integration (Amaka) | $0 | $0 | $0 |
| Amaka paid, if you also sync a second channel | $18 | $49 | $49 |
| Link My Books, one channel, monthly | $35 | $47 | $68 |
| Synder, monthly (billed yearly) | $65 ($52) | $129 ($103) | $299 ($240) |
| Webgility, billed annually | $129 | $299 | $369 |
| Bookkeep | Not volume based. $19 a month on Lite while annual revenue is under $200,000, then $49 and up by revenue | ||
Two notes on reading it. Synder counts synced transactions, so refunds and fee lines can count toward its tier, while Amaka says fees, refunds and reimbursements do not count toward its limit. Webgility's figures assume Square is your only channel; it is priced and built for sellers running Square alongside Shopify, Amazon or eBay, and its own write-up recommends it mainly for that case.
Which Square Xero setup fits your business?
A single cafe, salon or shop selling only through Square is usually well served by the free connector on the daily summary setting, on Xero Growing rather than Early. Adding a Shopify or WooCommerce store is where Amaka's $18 or $49 plan, or Link My Books, starts to earn its fee, because both channels then post into Xero the same way. Sellers who need every order as its own invoice with item detail, or who sell across several marketplaces, are the ones who end up on Synder or Webgility.
None of these apps manages stock. Webgility's own comparison lists no inventory sync for the direct connector or for Amaka, so if counts and reorder points are the gap, that is a job for dedicated inventory management software rather than a bigger accounting sync. If you also sell on Shopify, our Shopify Xero integration pricing guide runs the same comparison at 200 to 5,000 orders, and Amaka pricing and Amaka alternatives sets Amaka's full ladder against each rival.
Square Xero integration not working or deposits not matching
Most "not working" reports are really "the numbers do not match," and the cause is usually timing. A Square deposit can cover more than one day of sales, and it is reduced by chargebacks, held funds, balance adjustments and Square loan repayments, all of which the connector maps separately. So the deposit on your bank feed rarely equals any one daily invoice. The fix is to reconcile each deposit against the Square Balance clearing account, not against the invoice.
The genuine failures have a short list of causes. Amaka's guide warns that the daily sync may fail if the Square Balance account in Xero is deleted or edited, so check that account first. Then check the Square Xero integration settings for the start date, the sync type and the account mappings, since a mapping pointed at an archived account stops the sync. Same-day changes appear the next day, so wait a full cycle before assuming it broke.
Do I need a sync app and reconciliation software?
Many Square sellers need only the sync. Once the clearing account is reconciled each week, the Square side of the books is right. The gap appears as the business grows and the bank statement fills with activity that never passed through Square: Stripe or PayPal payments for online orders, payroll, card spend, loan draws, ACH batches from wholesale customers and transfers between your own accounts. A sync app never sees those, and that is what keeps a month from closing.
That is the job Reconciler does. It reads Square, Stripe and PayPal read-only next to your bank and Xero, pairs every deposit with the sales and fees behind it, and writes a plain English reason under each match. The plan that connects Xero is Growth, $89 a month billed yearly, with 25,000 transactions a month; plans and limits are on our pricing page, and payment reconciliation software explains how processor payouts are matched to the bank.
Questions to ask before you pay for a Square to Xero app
- Does the free official connector already cover what I need? For a single location on the daily summary setting, it often does.
- Which Xero plan will the fee bills push me onto? Count your Square deposits per month before you compare app prices.
- Do refunds and fee lines count toward the app's limit? Amaka says no; transaction-metered tools may say yes.
- Do I want a daily summary or one invoice per order? Per-order detail is useful for item reporting and heavier for the ledger.
- Who reconciles the deposits once they post? A sync app writes the entries; it does not prove the bank statement agrees with them.
For the QuickBooks side of the same decision, Square QuickBooks integration pricing compares Intuit's connector and the paid apps on the same three volumes.
