Pilot Accounting Pricing and Pilot Bookkeeping Alternatives for Teams That Keep Their Own Books

Pilot sells people and software together. Its finance team and AI keep your books in QuickBooks Online, close the month and hand you reports, and on the higher plans a named US-based bookkeeper explains the numbers. The price is set by how much your company spends each month, payroll and cost of goods included, which Pilot spells out in its FAQ. On the pricing page today there are three bookkeeping plans. Essentials is $99 a month for small businesses that want clean cash-basis books: AI categorizes transactions, reconciles accounts and closes the books monthly, and support is in-app messaging only. Core starts at $299 a month billed annually, or $399 month to month, for up to about $15,000 of monthly expenses, and the slider on the page climbs to $499 ($599) at $30,000, $679 ($815) at $100,000 and $999 ($1,199) at $200,000. Core adds the dedicated bookkeeper, cash or accrual books, payroll, AP, inventory and payment-platform data, ten vendor bills a month and reports by the tenth business day. Custom is the plan that lets you keep your existing QuickBooks account and history, with reports by the sixth business day and AR, AP, payroll and CFO help added. Tax filing, CFO services from $1,750 a month and outsourced operations from $850 a month are sold on top and most of them must be bought with Pilot Bookkeeping. Pilot works with US entities only, bills on an annual subscription, and every plan opens with Contact Sales. For a founder with nobody on the books, that is a reasonable trade. It is the wrong purchase when a bookkeeper, controller or outside CPA already keeps your ledger, because then you would be paying a second team for work you have covered. What that person usually needs is the slow, repetitive part automated. Reconciler connects QuickBooks Online, Xero or NetSuite read-only, matches Mercury, Brex and CSV bank and card lines plus Stripe, PayPal and Square payouts against the ledger, explains each pair in plain English and leaves your accountant in charge of every entry.

Honest fit

Which one you should actually pick

Pick Pilot when

Pilot is the better buy for a US startup or small business with nobody on the books that wants bookkeeping, a monthly close, tax filing and later a fractional CFO from one firm, and is fine paying by monthly expenses on an annual contract inside QuickBooks Online.

Pick Reconciler when

Reconciler is the better buy when the bookkeeping is already covered. You keep your bookkeeper, controller or outside CPA and the ledger they work in, and you need bank, card and Stripe, PayPal or Square payouts proven against it every month without ticking lines by hand. It connects read-only, explains every match, flags every exception and costs $89 a month billed yearly with the ledger connected.

Questions people ask

Pilot alternatives, answered

How much does Pilot accounting cost?

Read on October 12, 2026, Pilot Bookkeeping Essentials is $99 a month for businesses with up to $100,000 in monthly expenses, and Core starts at $299 a month billed annually or $399 month to month, rising with monthly expenses to $999 ($1,199 monthly) at $200,000. Custom plans, tax filing and CFO services are priced separately.

How does Pilot price bookkeeping?

By monthly expenses. Pilot's FAQ says it counts the money your company spends each month, including payroll, cost of goods sold and distributions, and its Core price moves along that scale. Pilot bills on an annual subscription, and a pre-revenue startup can ask for a discount on Core.

What is the difference between Pilot Essentials and Core?

Essentials at $99 a month is AI-led cash-basis bookkeeping with a standard chart of accounts, a year-end package and in-app messaging support. Core adds a dedicated US-based bookkeeper, cash or accrual books, payroll, AP, inventory and payment-platform data, ten vendor bills a month and reports by the tenth business day.

Does Pilot use QuickBooks?

Yes. Pilot says it does all of its bookkeeping in QuickBooks Online and helps Xero users move over. Keeping your existing QuickBooks account and historical data is listed as a Custom plan feature, so ask during the sales call whether your current file stays as it is.

What are the best Pilot bookkeeping alternatives?

For another done-for-you service, buyers compare Pilot with Zeni and local or outsourced bookkeeping firms. For an AI ledger you run yourself, Digits, Puzzle and Kick. If you keep your own bookkeeper and only want reconciliation automated, Reconciler covers that from $89 a month billed yearly with QuickBooks Online, Xero or NetSuite connected.

Is Pilot or Zeni cheaper?

On published starting prices, Pilot is lower. Pilot Essentials is $99 a month and Core starts at $299 billed annually, while Zeni's AI Bookkeeping starts at $549 a month for Starter and $799 for Growth. Both rise with your volume, and both bill extra for tax and CFO work, so compare quotes at your own monthly expenses.

Does Pilot do bank reconciliation?

Yes. Pilot's Essentials plan says its AI reconciles accounts and closes the books monthly, and Core adds a human bookkeeper who reviews the books. Reconciliation is part of the service Pilot performs for you rather than a tool your own staff runs.

Can I cancel Pilot at any time?

Pilot prices on an annual subscription. Its FAQ says that if you cancel, the subscription continues until the end of your billing cycle, so plan a switch around the renewal date. Reconciler's Starter and Growth plans can be billed month to month or yearly.

Do I need Pilot or Reconciler?

Ask who does the books today. If nobody does and you want them handled, Pilot is a service built for that. If a bookkeeper, controller or CPA already keeps QuickBooks Online, Xero or NetSuite, Reconciler gives them automated matching and an explained exception list without changing who owns the books.
