A PayPal Xero integration costs $0 in app fees if Xero's own PayPal feed is enough, and roughly $16 to $369 a month if you need a sync app. Checked on October 25, 2026, Xero's PayPal feed comes with every Xero plan and Xero lists no separate charge for it. Paid apps start at $190 a year on PayTraQer for 500 transactions a month, $29 a month on A2X for PayPal and $52 a month billed yearly on Synder. The cost most US sellers miss sits inside Xero itself: multi-currency PayPal balances need the $97 Established plan.
So the useful question is not which app is cheapest. It is whether the free feed gives your books enough structure, whether you need fees, refunds and payouts posted for you, and who proves the deposits once they land. We read each vendor's own pricing page or help documentation on October 25, 2026 and list only what they publish.
How much does a PayPal Xero integration cost?
Expect $0 for Xero's PayPal feed, $16 to $99 a month for PayTraQer at 500 to 10,000 transactions, $29 to $159 a month for A2X for PayPal up to 10,000, $52 to $299 for Synder and $129 to $369 for Webgility. On top of that you pay Xero, $27 to $97 a month on the US plans, and PayPal's own processing fees, which no integration removes.

|---|---|---|---|
| Xero PayPal feed | No separate charge listed; included with the Xero subscription | Nothing published | Not applicable |
| PayTraQer (SaaSAnt) | Rise $190 a year for 500, Scale $290 for 1,000, Large $490 for 5,000, Dynamic $990 for 10,000; $19 to $99 a month on monthly billing | Synced transactions, one credit each | 15 days, 10 transactions |

| Webgility | Pro $69 a month billed annually for 300 orders; Advanced $129 for 800; Complete $299 for 1,500, then $10 per extra 500 | Orders across all sales channels | Free trial offered |
| Bookkeep | Starter $49, Growth $99, Pro $199 a month; PayPal is not on the $19 Lite plan | Annual revenue through connected channels | 14 days |
Two tools that come up in searches are left out on purpose. Link My Books has no PayPal channel and only sees PayPal as a payment method inside Shopify or WooCommerce orders. Amaka's integrations page did not list PayPal on the day we checked. Synder, Webgility and Bookkeep were last read first-party in October 2026 for our other integration guides; PayTraQer, A2X and Xero on October 25.
A2X raises PayPal prices on November 14, 2026
A2X's PayPal pricing page carries a banner that prices rise from November 14, 2026 on every plan except Mini. Its published price list gives the new figures: Basic goes from $45 to $49, Professional from $79 to $85, Premium 5k from $115 to $125 and Premium 10k from $159 to $169 a month. Mini stays at $29 for 200 transactions. The announcement does not say whether current subscribers keep the old rate, so ask before you commit to a larger tier.
Is the PayPal Xero integration free?
Yes, the feed itself is. Xero's PayPal page says that once you set up a PayPal feed, your transactions are imported into Xero each day, ready for reconciliation, and Xero prices no add-on for it. What you get is raw activity: each payment, fee, refund and transfer arrives as a statement line on a PayPal account in Xero, and you code and reconcile them yourself or with bank rules. For a seller with a few hundred PayPal transactions a month in US dollars, that is often enough.
The hidden cost is currency. PayPal lets a seller hold balances in several currencies, and on the US plans Xero only allows multiple currencies on Established, $97 a month. Early ($27) and Growing ($59) exclude it. A US seller taking payments in Canadian dollars or euros therefore pays $38 to $70 a month more for Xero before any app enters the picture. Xero is also running 90% off the first six months for new US customers until November 2, 2026, so check the full rate, not the promo.
What does a PayPal to Xero app cost at 500, 1,000 and 5,000 transactions a month?
Here is the monthly app cost for one PayPal account on Xero at three volumes, using each vendor's published ladder. Xero and PayPal processing fees are extra in every row. PayTraQer's annual prices are divided by twelve; Webgility counts orders, so we treated one order as one PayPal transaction and added its $10 blocks of 500 extra orders.
| Option | 500 a month | 1,000 a month | 5,000 a month |
|---|---|---|---|
| Xero PayPal feed | $0 | $0 | $0 |
| PayTraQer, annual (monthly) | $15.83 ($19) | $24.17 ($29) | $40.83 ($49) |
| A2X for PayPal, now (from November 14) | $45 ($49) | $79 ($85) | $115 ($125) |
| Synder, monthly (billed yearly) | $65 ($52) | $129 ($103) | $299 ($240) |
| Webgility, billed annually | $129 | $299 | $369 |
| Bookkeep | Not volume based. From $49 a month by annual revenue; PayPal needs Starter or above | ||
The meters are not equal, so read the row with your own mix in mind. PayTraQer uses one credit for every synced record, so refunds and fee lines count, undoing a sync does not give credits back, and unused credits expire each month. Synder says processing fees do not count toward its limit. A2X counts PayPal transactions but posts one summarized entry per settlement, so the ledger stays small even at high volume.
Which PayPal Xero setup fits your business?
A US seller with one PayPal account in dollars and a few hundred transactions a month is usually well served by the free feed and a handful of bank rules. Once fees and refunds make the coding slow, PayTraQer is the cheapest published way to have them split onto their own accounts, at $190 a year for 500 transactions. Sellers who want the ledger to show one clean entry per payout rather than every sale tend to prefer A2X. Synder and Webgility make sense when PayPal is one of several channels, alongside Stripe, Shopify or Amazon, and you want them all mapped in one tool.
PayPal disputes are the other line that throws a month off. A chargeback pulls money out of a balance that was already counted, and the reversal often lands in a later payout. If disputes are frequent enough to show up in every close, the fix is upstream, with chargeback prevention software, rather than a bigger sync plan. For a full breakdown of the cheapest app on this list, see PayTraQer pricing and PayTraQer alternatives, and if you also sell through Stripe, Stripe Xero integration pricing runs the same comparison for that processor.
Why PayPal deposits do not match Xero
Most PayPal mismatches in Xero come from one fact: a transfer from PayPal to your bank is not a sale. It is a batch of sales, net of fees, minus refunds, sometimes minus a dispute hold, and often covering more than one day. So the deposit on your bank feed rarely equals any single PayPal line, and trying to match it to a sale or an invoice fails. The fix is to treat the PayPal account in Xero as a clearing account: reconcile the sales and fees there, then match the transfer out of PayPal against the deposit into the bank.
Currency conversions are the second cause. When PayPal converts a foreign balance, it records a conversion pair that shows up as two lines, and Xero only lets you add a bank account in another currency on a plan with multi-currency, so on Early or Growing the foreign side has nowhere to land. The third is timing: a feed that imports daily will show a sale today and the transfer days later, so a month cut-off splits them. A sync app fixes the posting side of these problems. It does not check that the bank agrees.
Do I need a sync app and reconciliation software?
Many PayPal sellers need only the sync, at least at first. Once the PayPal clearing account reconciles to zero each month, the PayPal side of the books is right. The gap appears as the business grows and the bank statement fills with activity that never touched PayPal: Stripe payouts, card spend, payroll, loan draws, ACH batches from wholesale customers and transfers between your own accounts. A sync app never sees those lines, and they are what keep a month from closing.
That is the job Reconciler does. It reads PayPal, Stripe and Square read-only next to your bank and Xero, pairs every deposit with the sales, fees and refunds behind it, and writes a plain English reason under each match. Nothing is ever posted to your ledger. The plan that connects Xero is Growth, $89 a month billed yearly, with 25,000 transactions a month; plans are on our pricing page, and payment reconciliation software explains how processor payouts are matched to the bank.
Questions to ask before you pay for a PayPal to Xero app
- Is the free Xero PayPal feed already enough? For one dollar balance and modest volume, it often is.
- Do I hold PayPal balances in more than one currency? If yes, budget for Xero Established at $97 a month.
- Does the app count refunds, fees and transfers toward its limit? PayTraQer does; Synder excludes processing fees.
- Do I want every transaction in Xero or one summarized entry per payout? The second keeps the ledger lighter.
- Will my A2X rate change on November 14, 2026? Ask before choosing any plan above Mini.
- Who reconciles the deposits once they post? A sync app writes the entries; it does not prove the bank statement agrees with them.
