Hubdoc Pricing, Hubdoc Cost and Hubdoc Alternatives for Teams That Need the Books to Reconcile

Hubdoc is a document capture tool. You photograph, upload or email bills, receipts and statements, it reads the supplier, amount, invoice number and due date, and it creates transactions in Xero or QuickBooks Online with the source document attached. Its own US pricing page, read on November 1, 2026, shows a 30 day free trial with no credit card, then $12 a month, with unlimited usage, multiple collaborators and an accountant invite included. Xero lists Smart Document Capture as included on all three US plans, Early at $27 a month, Growing at $59 and Established at $97, and links to Hubdoc terms of use at the bottom of that page, so check which of the two you actually have before you pay for both. What Hubdoc does well is get paper and PDFs into the ledger without retyping. What it does not describe is the step after that: proving that the deposit in the bank, the processor payout and the ledger entry all agree. Reconciler is that step. It connects QuickBooks Online, Xero and NetSuite read-only, reads the bank statement and processor activity next to the ledger, pairs every deposit with the entries behind it, and writes a plain English reason under each match. It posts nothing, so it sits beside Hubdoc rather than replacing it. This page sets Hubdoc published price next to Reconciler and says which job each tool is for.

Vendor pricing changes. We only state what each vendor publishes itself, and we do not repeat third-party estimates as fact. Confirm current numbers with Hubdoc before you decide. Reconciler pricing is on our pricing page, and the same check across every tool in the category, including which vendors publish a figure at all, is on our account reconciliation software pricing comparison.

Honest fit

Which one you should actually pick

Pick Hubdoc when

Hubdoc is the better fit, and the cheaper one, when the pain is paper: a stack of supplier bills, receipts from people in the field, or statements someone retypes every month. At $12 a month it solves the capture problem for a small business or a bookkeeper with a few clients, and a Xero customer should first look at the document capture already on their plan. If the documents are the bottleneck, use Hubdoc or the capture Xero includes.

Pick Reconciler when

Reconciler is the better fit when the documents are already in and the books still will not close. The open lines are the ones capture cannot see: a payout that bundles several days of sales net of fees, a card batch covering a dozen invoices, a refund that landed in the next period. Reconciler pairs each deposit with the entries behind it, explains every match, and leaves a short list of true exceptions for a person. Most teams that outgrow spreadsheets at month end run both, one upstream and one downstream.

Questions people ask

Hubdoc alternatives, answered

How much does Hubdoc cost?

Hubdoc pricing, read on its own US pricing page on November 1, 2026, is a 30 day free trial with no credit card and then $12 a month. The page lists unlimited usage, multiple collaborators, mobile apps for Apple and Android, and document download. Accountants and bookkeepers have a separate page, so confirm the figure there if you buy for clients.

Is Hubdoc free with Xero?

Xero lists Smart Document Capture as included on its Early, Growing and Established US plans, and its pricing page links to Hubdoc terms of use. Whether your organization uses Hubdoc itself or Xero capture depends on how it was set up, so check inside your Xero account before you pay for a separate Hubdoc subscription.

Does Hubdoc reconcile bank statements?

Not as a stated feature. Hubdoc reads bills, receipts and statements and creates transactions with the document attached, which gets the data into your ledger. Matching each deposit to the sales, fees and refunds behind it, and proving the ledger agrees with the bank, is the work Reconciler does after capture.

What are the best Hubdoc alternatives?

It depends on the job. For bill and receipt capture, the alternatives are Dext and the capture built into your accounting software. For proving that the bank, the processors and the ledger agree, Reconciler, A2X, Link My Books and Synder cover different parts, and our pages compare each one honestly.

Can I use Hubdoc and reconciliation software together?

Yes, and that is the normal shape. Hubdoc works upstream, turning documents into entries. Reconciliation software works downstream, proving the finished ledger agrees with the bank and your payment processors. Reconciler connects read-only, so it never changes what Hubdoc posts.
