Read-only · Never moves money

In short

QuickBooks reconciliation software is a tool that sits on top of QuickBooks and matches the transactions in your bank, credit card, and payment processor accounts against the entries in your QuickBooks ledger, so the two sides agree. QuickBooks Online has a built-in reconcile screen, and it works well when you have one bank account and a clean feed. It gets slow once you add a corporate card, a Stripe or PayPal payout that bundles dozens of sales into one deposit, or a second entity. Reconciler connects to QuickBooks Online read-only, pulls in your bank feed and processors, and scores every candidate pair on amount, date, memo, and processor reference. A $3,200.00 deposit ties to invoice 1043, and payout po_8821 ties to the sales batch that produced it, each with a plain English reason you can check in seconds. High-confidence matches group together for batch approval, and genuine exceptions surface on their own. Nothing auto-posts and nothing is written back to QuickBooks. The connection is read-only by design, so Reconciler reads your records and never moves money.

// CAPABILITY

What you get

Reconciliation that fits the way QuickBooks teams actually close

Handles the payout problem

QuickBooks sees one $4,180.00 Stripe deposit. Reconciler opens it up, ties each sale, refund, and fee inside it to the right QuickBooks entry, and shows you the math.

Credit card reconciliation too

Corporate card statements reconcile on the same pass as the bank, so QuickBooks credit card reconciliation is not a separate evening of work.

Explains every match

Each pair carries a plain English reason, so you approve it or reject it without opening the bank site in another tab.

Read-only, no rip-and-replace

Reconciler reads QuickBooks Online and never writes back, posts entries, or moves money. You keep QuickBooks and your workflow exactly as they are.

// 4 STEPS

How it works

From QuickBooks connected to reconciled in four steps

01

Connect QuickBooks read-only

Authorize a read-only connection to QuickBooks Online. Reconciler reads transactions and never gains permission to post entries or move money.

02

Add your bank and processors

Connect your bank feed and any of Stripe, PayPal, or Square, so both sides of every transaction land in one place.

03

Reconciler matches both sides

The engine scores every candidate pair on amount, date, memo, and processor reference, and groups the confident matches for batch approval.

04

You review the exceptions

Read the plain English reason for each match, confirm the flagged lines, and watch the difference drive to $0.00. Nothing posts without you.

Honest comparison

Built-in QuickBooks reconcile vs Reconciler

QuickBooks Online reconcile Reconciler
Cost Included with QuickBooks Online From $49 per month on top of QuickBooks
One bank account, clean feed Works well, and it is free Works, but the built-in screen is usually enough
Stripe, PayPal, Square payouts Sees the lump deposit, you split it by hand Opens the payout and ties each sale, refund, and fee inside it
Credit card reconciliation Separate reconcile run per card account Reconciled on the same pass as the bank
Why a match happened You decide by eye, row by row Plain English reason attached to every pair
Multiple entities Reconcile each company file on its own Matches across entities in one place
Writes to your ledger Yes, it posts the reconciliation No, read-only. Nothing auto-posts

If you run one bank account and your feed is clean, the reconcile screen inside QuickBooks Online is genuinely fine and it costs nothing. Reconciler earns its place when payouts bundle many sales into one deposit, when cards and multiple entities pile up, or when you need a written reason for every match at audit time.

Questions people ask

QuickBooks reconciliation, answered

How do I do a bank rec in QuickBooks Online?

In QuickBooks Online you open Settings, choose Reconcile, pick the account, enter the ending balance and ending date from your bank statement, then tick off each transaction in QuickBooks that appears on the statement until the difference reads 0.00. The work is the ticking. Reconciler does that matching pass for you and leaves you the exceptions.

Does QuickBooks have automatic reconciliation?

QuickBooks Online suggests matches from the bank feed, but it does not fully reconcile the account on its own. You still open the Reconcile screen, enter the statement balance, and confirm each line until the difference is zero. Reconciler adds the automated matching layer across your bank, cards, and processors, then hands you only what it could not confidently tie.

Why is my QuickBooks reconciliation off by a small amount?

A small difference almost always comes from one of five things: a processor fee posted net instead of gross, a duplicate entry, a transaction dated outside the statement period, a manual edit to an already reconciled transaction, or a refund recorded on the wrong side. Reconciler flags each of these as a named exception instead of leaving you to hunt for the penny.

Can I reconcile a credit card in QuickBooks Online?

Yes. QuickBooks Online reconciles credit card accounts through the same Reconcile screen you use for a bank account, using the statement closing balance and closing date. Reconciler reconciles cards on the same pass as your bank and processors, so corporate card spend does not become a separate task at the end of the close.

Do I have to switch off QuickBooks to use Reconciler?

No. Reconciler sits on top of the ledger you already run. It reads QuickBooks Online with read-only access and reconciles against your bank and processors, so there is no migration, no rip-and-replace, and no moving your books onto a new platform to get automated matching.

Reconcile QuickBooks without the ticking

Connect QuickBooks, your bank, and your processors read-only. Reconciler matches transactions, flags what does not add up, and explains every match. It never moves money and nothing auto-posts.
