How to Reconcile in NetSuite: Bank, Card and Cash Accounts

To reconcile in NetSuite, import your bank or card data, clear the matched lines on the Match Bank Data page, then open Transactions > Bank > Reconcile Account Statement, choose the account and statement end date, enter the ending statement balance from the statement, and check off transactions until the Difference field reads zero. NetSuite lets you submit with a difference still showing, which is why so many NetSuite reconciliations look complete and are not.

NetSuite splits reconciliation across two pages that look similar and do different jobs, and most of the confusion people have with it starts there. One page decides which bank lines correspond to which NetSuite transactions. The other page proves that the account balance agrees with the statement. You need both, in that order, and if you only ever use the second one you are reconciling against your own records rather than against the bank.

How to do bank reconciliation in NetSuite

Turn the modern pages on first. Under Setup > Accounting > Preferences there is a setting called Use Match Bank Data and Reconcile Account Statement Pages. Without it enabled you are working in the older reconciliation screen and half of what follows will not be where this says it is.

That last row is worth sitting with. A reconciliation submitted with a difference of $412.60 looks identical in the system to one submitted at zero. Nothing turns red the following month. The difference simply becomes part of the opening position and gets harder to find every period it survives, which is how a small unexplained variance turns into an eighteen month archaeology project.

What is the difference between Match Bank Data and Reconcile Account Statement?

Match Bank Data is where imported bank lines get paired with NetSuite transactions. Reconcile Account Statement is where the resulting cleared balance gets proved against the ending balance on your statement. Matching answers "what is this line", reconciling answers "does the account tie". Doing the second without the first means you are ticking your own entries against each other.

The practical consequence is a sequencing rule: never start the Reconcile Account Statement page for a period until the To Be Matched subtab for that period is empty or every remaining item is one you have consciously decided to leave. Otherwise you will chase a difference on one page that is caused by unmatched data sitting on the other.

How to reconcile a credit card in NetSuite

Credit cards run through exactly the same two pages as bank accounts. Import the card feed, match the charges against the expenses and bills already recorded, then reconcile to the closing statement balance on the card. Mechanically it is identical. What differs is the failure mode.

Bank reconciliations break on timing. Card reconciliations break on coding and on missing paperwork. The amount is rarely in dispute, because the card issuer and the ledger agree on what was charged. What is in dispute is which expense account a charge belongs to, whether anyone has produced a receipt for it, and whether a subscription that renewed on the 3rd was recorded at all. None of that shows up as a difference on the reconciliation, which is precisely why card accounts can reconcile perfectly and still be wrong at the expense-account level.

It is worth looking at what the card lines actually are before you accept the coding. In most companies a large share of them are software subscriptions and cloud infrastructure, spread across a dozen vendors and several teams, and working out what that spend really adds up to is a separate exercise from reconciling it. If that is where your card statement is going, connecting the accounts to a read-only view of cloud and SaaS spend will tell you more in an afternoon than a month of line-by-line coding will. Reconciliation proves the charges are real. It does not tell you they were worth making.

How to reconcile undeposited funds in NetSuite

Undeposited funds is a holding account: payments that have been recorded as received but not yet grouped into a deposit that hits the bank. To reconcile it, list every payment sitting in the account, match each one to the deposit it belongs to, and confirm that deposit landed in the bank. Anything left is either a payment never deposited or a deposit recorded twice.

The balance should be small and it should be recent. A five-figure undeposited funds balance carrying items from four months ago is not a reconciliation problem, it is a workflow problem: someone is recording customer payments individually and the bank is receiving them in batches, and nothing is joining the two. The usual fix is on the process side rather than in the reconciliation, and the account will keep growing until it is made.

Why does my NetSuite bank reconciliation show a difference?

Almost always one of six things. Work through them in this order, because they are listed roughly by how often they turn out to be the answer.

How do I undo a bank reconciliation in NetSuite?

Go to Transactions > Bank > Reconcile Account Statement, select the account, and open the Review subtab. Next to the transaction, click Cleared in the View Details column and then click Undo Clear. NetSuite moves that transaction back to the To Be Matched subtab on the Match Bank Data page, where you can match it correctly.

For more than one at a time, tick the boxes next to the cleared transactions and click Undo Selected. If the page shows a mix of cleared and matched items, the Select Cleared Transactions button picks out just the cleared ones first. If everything on the page is cleared and you want all of it undone, use the checkbox in the grid header and then Undo Selected.

Two things worth knowing before you start. Undoing is a correction tool, not an eraser: the history of what was cleared and when does not vanish, which is exactly what you want when an auditor asks. And if the reason you are undoing is that a transaction amount was wrong, remember NetSuite has probably already removed the cleared status for you when the amount was edited, so check the current state before you start clicking.

Can you automate reconciliation in NetSuite?

Partly, and the boundary is worth knowing before you plan around it. Intelligent Transaction Matching automates the pairing step using reconciliation rules you configure, including a built-in rule for in-transit payments that matches when the transaction numbers agree exactly, the dollar amounts agree exactly, and the imported bank line is a Payment type. Everything past the match, the investigation and the correcting entry, stays with a person.

How much that buys you depends almost entirely on how exact your data is. NetSuite's built-in rule wants an exact number and an exact amount. Real activity does not always cooperate: a customer pays three invoices with one transfer, a payout arrives net of processor fees, a wire lands two days late and $35 light, a payment reference gets truncated by the bank. Those are the lines that fall to To Be Matched, and in a business taking payments through Stripe, PayPal, Square or a card program, they are not a rounding error, they are most of the exceptions.

That gap is where an external matching layer earns its place. How to reconcile intercompany accounts in NetSuite

Reconcile each subsidiary against its own bank and ledger first, then compare the intercompany balances pair by pair, matching movements item by item rather than comparing totals. If you are on NetSuite OneWorld, the elimination side is already native and you should use it, because it sees data any external tool would have to be granted access to.

The case for anything additional is not the elimination, it is the matching, and it gets stronger the less uniform the group is. A group where every entity is on NetSuite is well served by NetSuite. A group where one entity is on NetSuite, one is on QuickBooks and one is on Xero has no single system that can see all three sides, and that is a genuinely harder problem. How often should you reconcile in NetSuite?

Monthly at minimum, because that is what the close requires, but weekly is better on any account with real volume. The argument for weekly is not diligence, it is memory: an unexplained line from six days ago is something a person can still recall and resolve in a minute, and the same line at day forty is a research task involving two other people.

The cost of catching up is not linear either. Unmatched items interact. Two duplicates and a missing deposit in the same period are three separate five-minute problems if you find them weekly, and one confusing four-figure variance if you find them at quarter end. Teams that move to weekly matching almost never move back, and the close gets shorter for reasons that have nothing to do with the close itself. If shortening the calendar is the actual goal, closing the books faster covers which waits are worth removing first.
